Why choosing carefully matters

The provider you choose produces the written record the court will read. A sloppy, biased, or unprofessional report can hurt the very case it's supposed to support. And because Virginia has no licensing regime for private providers, the burden of vetting falls on you and your attorney.

The checklist

1. Training and vetting

  • Are supervisors trained in child safety, de-escalation, and documentation?
  • Are they background-checked? Ask directly.
  • Is there an organization behind the supervisor — protocols, oversight, insurance — or is it one person with a phone?

2. Documentation quality

  • Ask to see a redacted sample report. It should be objective, timestamped, and free of opinion or advocacy.
  • Confirm turnaround time. Reports delivered weeks later are far less useful to your attorney.
  • Confirm the provider will release reports to both parties, counsel, and the court as the order directs.

3. Neutrality

  • The provider should have no prior relationship with either parent.
  • Be wary of any provider who "takes your side" during the sales conversation. Courts discount advocates.

4. Pricing transparency

  • Get the full fee schedule in writing: hourly rate, intake fee, report fees, cancellation fees, travel fees.
  • Watch for monthly "case management" charges and per-mile travel billing — they add up fast.

5. Court familiarity

6. Availability and logistics

  • Evening and weekend availability — most court-ordered schedules require it.
  • How fast can a case be activated? Waiting a month for intake means a month of missed parenting time.
  • Where do visits occur, and does the provider serve your part of Virginia?

Red flags

  • No written report, or "verbal summaries" only
  • No written fee schedule
  • Willingness to editorialize in reports for the paying parent
  • No insurance, no organization, no references
  • Long, unexplained delays in scheduling
